Office Manager – BUDAPEST

We are looking for an Office Manager (full-time) to join our Budapest office, supporting the daily operations of a 35–40 person office and playing a key role in ensuring smooth and efficient office management.

Key responsibilities

  • Procuring and managing workplace supplies and equipment, including laptops, mobile phones, kitchen appliances, food items, and cleaning materials
  • Monitoring inventory levels, maintaining accurate records, and ensuring continuous availability
  • Coordinating IT support and working closely with system administrators and external partners
  • Managing and maintaining meeting rooms
  • Handling postal services: incoming and outgoing mail processing
  • Performing general office administration: maintaining records, scanning, organizing, storing, and managing invoices and office documents
  • Managing courier services and shipment arrangements
  • Coordinating maintenance of office equipment
  • Operating and managing office technical devices (printers, scanners)
  • Managing the company mobile phone fleet
  • Handling petty cash and preparing expense settlements
  • Liaising with technicians and service providers regarding office maintenance and facility management
  • Supervising the cleanliness and order of the reception and common areas
  • Supporting company vehicle-related administration in cooperation with other departments
  • Participating in the organization and execution of company events
  • Professionally welcoming and assisting guests and clients
  • Optimizing office resources in a cost-efficient manner

Requirements

  • 3–5 years of relevant experience in a similar role
  • User-level knowledge of Microsoft Office, with strong Excel skills
  • Intermediate level of English, both written and spoken
  • At least a secondary-level, relevant qualification
  • Experience working with IT support 
  • Ability to work on-site (personal presence required)
  • Independent and responsible working style
  • Proactive, confident, and solution-oriented attitude
  • Excellent communication and problem-solving skills
  • Strong organizational skills, helpful mindset, and team-player attitude
  • High standards regarding work environment and office appearance
